Why Maintenance Decides How Long Your Playground Lasts

Most playgrounds do not fail because the equipment was badly made. They fail because nobody agreed who checks them, how often, and against what criteria. This guide gives you a working playground equipment maintenance checklist, realistic inspection frequencies, wear limits worth arguing about, and the records you need to keep.

The reasoning behind the regime below follows the approach used in EN 1176-7, the part of the European playground standard that deals with installation, inspection, maintenance and operation. It describes three layers of inspection rather than one, and that three layer idea is the single most useful thing an operator can take from the standard.

The Three Layers of Inspection

Treating every check as the same check is the classic mistake. A caretaker walking the site before opening is doing something completely different from an engineer measuring rope wear with a caliper. Separate them.

1. Routine visual inspection

A quick sweep for the obvious and the dangerous: broken glass, sharp edges, missing caps, vandalism, standing water, litter in the impact area, loose bolts you can see or hear. It needs no tools and no specialist. It needs a person, a route, and a signed sheet.

2. Operational inspection

A slower, hands on check of how the equipment actually behaves. Moving parts are worked through their range, swing hangers and bearings are felt for play, chains and ropes are run through the hand, surfacing depth is spot checked, foundations are probed for exposure or movement. This is where a competent maintenance technician with a torque wrench and a tape measure earns their fee.

3. Annual main inspection

A full condition survey by a person competent in playground inspection, ideally independent of the team doing the day to day work. Long term structural issues surface here: timber rot at ground line, corrosion inside hollow posts, fatigue cracking at welds, cumulative wear on links and shackles, degraded surfacing performance, and whether the layout still meets the safety requirements it was built to. The output is a written report with a prioritised action list, not a verbal all clear.

Inspection Frequency Table

Frequency is driven by intensity of use, exposure and vandalism risk, not by the calendar alone. Use the table as your playground equipment maintenance starting point and then adjust upward for hard used sites. In Vietnam, add the monsoon factor: heavy rain, high humidity and strong ultraviolet exposure all accelerate wear, so a site in Hanoi or Ho Chi Minh City will usually justify a tighter cycle than the minimum.

Two rules make the table work. First, write the frequency into a contract or an internal procedure so it survives staff turnover. Second, keep the completed sheets. An inspection you cannot evidence is, for insurance and liability purposes, an inspection that did not happen.

The Working Playground Equipment Maintenance Checklist

Print this, adapt the equipment list to your own site, and give every line a pass, fail or monitor outcome.

Fixings and structure

  • All bolts, nuts and screws present, tight and torqued to the manufacturer figure. Protective caps in place over exposed thread.
  • No sharp edges, burrs, splinters or protruding fasteners within reach of a child.
  • Posts and uprights stable, with no rocking when pushed firmly at height.
  • Foundations still buried and not exposed by erosion, settlement or surfacing loss.
  • Welds free of visible cracking, especially at joints carrying swinging or rotating loads.
  • Steel: paint or galvanising intact, no rust perforation or scale at ground line or inside open tube ends.
  • Timber: no rot at ground contact, no deep checking, no loose fibre. Probe suspect areas rather than looking only.
  • HDPE panels and plastic mouldings free of cracks, stress whitening and heat distortion.

Moving parts

  • Swing hangers and bearings turn freely with no excessive play or noise.
  • Chains, links and shackles inspected for wear. Replace when link section is visibly reduced or elongated, and always in matched pairs so the seat stays level.
  • Ropes and nets: no broken strands, no exposed steel core, terminations and clamps intact, tension correct.
  • Slide beds smooth, joints flush, side walls sound, exit zone clear and at correct height.
  • Rotating and rocking items free of trapping gaps and with dampers or bushes functioning.

Surfacing and layout

  • Impact attenuating surfacing continuous across the full impact area, with no gaps at edges or around posts.
  • Loose fill raked back to marked depth, which is typically in the range of 200 to 400 mm depending on the fall height being protected.
  • Poured rubber and tile systems checked for thickness loss, delamination, shrinkage joints and lifted edges. Wet pour thickness is typically in the range of 20 to 60 mm or more depending on the critical fall height required.
  • Free space and falling space around each item still clear of new obstructions such as planters, fences, signage or maturing trees.
  • Drainage working, with no standing water in the impact area after rain.

Site and signage

  • Identification and contact signage legible, with a working phone number for reporting faults.
  • Age zoning still clear and still matching the equipment actually installed.
  • Fencing, gates and self closing latches functional.
  • Shade structures, benches and bins sound and clean.

Wear Limits, Records and Procurement

A checklist only produces results if it is backed by agreed wear limits, retained records and a purchasing process that pays for upkeep. These three sit together.

Wear limits, repairs and spare parts

Good playground equipment maintenance is mostly about deciding in advance what “worn out” means, then acting without debate when the limit is reached. Ask your supplier at handover for the wear criteria and replacement intervals for consumable items: swing bearings, chain and shackles, ropes and nets, bushes, slide bed sections, and surfacing.

Three repair principles are worth holding to. Use original or equivalent parts, because a substituted bolt grade or a shorter chain changes the geometry the equipment was designed and tested with. Never leave a partial repair in service, since half repaired equipment invites use. And take equipment out of use properly by removing the item or its access rather than tying a rope across it, which children treat as a challenge.

Where damage affects a structural member, a foundation or the surfacing performance, involve the supplier or a competent inspector before reopening. Where a fault repeats at the same point on several items, treat that as a design or specification issue and not as bad luck. Records you should be able to produce

If a parent, an insurer or an authority asks, you should be able to produce the following within a few minutes.

  1. An equipment register listing every item, its manufacturer, model, installation date and warranty end date.
  2. The manufacturer manuals, layout drawing and surfacing specification, including the critical fall height each area was designed for.
  3. Completed routine and operational inspection sheets, signed and dated.
  4. The most recent annual main inspection report with its action list and evidence of the actions closed out.
  5. A fault log showing report date, action taken, parts used and date returned to service.
  6. Names and competence evidence of the people carrying out each level of inspection.

Building maintenance into procurement

The cheapest playground on the tender sheet is often the most expensive over ten years. When you evaluate bids, price the whole life and not just the supply. Ask each bidder for the spare parts list with lead times, the corrosion protection specification, the surfacing warranty and its exclusions, the playground equipment maintenance visit scope and frequency, and who trains your site staff to do the routine visual inspection.
